Business Challenge
  • A large enterprise with 900 wholesale dealers was manually exchanging data — purchase orders, shipping details, stock reports, and sales estimations — via Excel sheets sent back and forth. Dealers were working on unsynchronised copies of data, causing inconsistencies and delays. With varying IT infrastructure across the dealer network (60–70% internet-capable, the rest operating in disconnected environments), the client needed a B2B data exchange solution that could handle both connected and disconnected scenarios while improving performance and reliability.
Our Solution

Kumaran — engaged by Microsoft India as a certified solution partner — designed and delivered a B2B data exchange solution using MS SQL Server replication over the internet. A Visual Basic application with SQL Server Desktop edition was deployed at dealer endpoints, connecting to a centralised SQL Server Enterprise server secured by a firewall with ISA authentication. For disconnected dealers, XML-based data exchange via external storage was implemented, ensuring no data was double-submitted. All data exchanges were fully logged, and the solution was integrated with the client's Wholesale Dealer Information System.

Key Results
  • 900 wholesale dealers connected to a single centralised SQL Server platform
  • Manual Excel-based data exchange eliminated — fully electronic purchase orders and stock reporting
  • Both connected (internet) and disconnected (XML/external storage) exchange modes supported
  • Synchronised data across all dealers — inconsistencies and manual errors eliminated
  • Reduced maintenance costs through automated data transfer and logging
The story so far

From manual Excel exchange to real-time B2B data synchronisation across 900 dealers.

Kumaran was engaged by Microsoft India to deliver a B2B data exchange solution for a major enterprise client with 900 wholesale dealers spread across the country. The solution replaced a manual, Excel-based data transfer process with a centralised SQL Server platform supporting both internet-connected and offline XML-based exchange — ensuring all 900 dealers worked with synchronised, up-to-date data at all times. The engagement was a proof of concept for MS SQL Server's internet replication capability, and its success integrated the client's full dealer value chain electronically for the first time.

The Background

The client operated an SAP ERP system with Oracle backend and distributed its products through 900 wholesale dealers nationwide. Data exchange between the client and dealers — covering purchase orders, shipping details, stock positions, and sales estimations — was entirely manual, relying on Excel sheets emailed back and forth. Dealers frequently worked on stale, unsynchronised data, creating operational inefficiencies and supply chain inconsistencies. With dealer IT infrastructure ranging from full internet connectivity to basic offline setups, the solution needed to accommodate both environments without compromising data integrity.
